Rostering Officer

Our Full-Time Rostering Officer is responsible for developing and managing employees’
schedules across various departments within the veterinary facility. This role ensures
that all departments, including Emergency, Critical Care, Medicine, Surgery,
Anaesthesia, General Practice, Diagnostic Imaging, Contractors, Nursing,
Administrative and support staff, are adequately staffed to meet operational needs
while considering the well-being and work-life balance of employees. The Rostering
Officer will work closely with department heads to ensure that JCUVet operates
smoothly and efficiently, with optimal staff coverage at all times.

Responsibilities –
-Develop Master Rosters for each department liaising with appropriate department
heads
-Develop, maintain, and distribute rosters for all departments, ensuring appropriate
coverage based on patient and facility requirements, and staff availability.

-Ensure rosters comply with company policies, industry standards, and any relevant
labour laws or regulations including fatigue management.
-Adjust rosters as necessary to accommodate sick leave, annual leave, study leave
and other unplanned absences.
-Collaborate with department heads to understand staffing needs and address any
specific requirements or concerns.
-Regularly review and update rosters to reflect changes in staffing levels, workloads,
or departmental priorities.
-Provide timely communication to department heads regarding any changes or
updates to the roster.
-Communicate roster details to all employees and/or contractors promptly, ensuring
they are aware of their scheduled shifts well in advance.
-Address and resolve any staff concerns related to scheduling, such as shift
preferences, availability, or conflicts.
-Serve as the primary point of contact for all roster-related inquiries from JCUVet
Employees.
-Maintain accurate and up-to-date records of staff availability, leave requests, and
shifts.
-Generate reports on staffing patterns, overtime, and leave usage to assist in
workforce planning and budget management.
-Monitor and report on roster compliance, including adherence to legal
requirements and internal policies.
-Identify opportunities for improving the rostering process to enhance efficiency,
employee satisfaction, and operational effectiveness.
-Implement feedback from employees and management to refine and optimize
rostering practices.
-Liaise with the HR and payroll departments to ensure accurate tracking of hours
worked, overtime, and leave.
-Assist in the onboarding process by ensuring new staff members are integrated into
the roster system and scheduled appropriately.
-Support HR in managing workforce planning and identifying staffing gaps or
surpluses.

Skills
-Strong organizational and time-management skills, with the ability to manage
multiple schedules and priorities.
-Excellent communication and interpersonal skills to work effectively with JCUVet
-Employees and management.
-Proficiency in Microsoft Office Suite and rostering software.
-Problem-solving skills and the ability to remain calm under pressure.
-Attention to detail and a high level of accuracy.
-A proactive and flexible approach to work, with a focus on continuous
improvement.
-Ability to handle confidential information with discretion.
-Strong customer service orientation and a positive attitude towards teamwork.

Experience
Minimum of 5 years of experience in a scheduling, rostering role preferably within a
healthcare, veterinary, or similar environment, with multiply departments with
conflicting priorities.
